Typically this information could be found in volunteer, donor, member, contractor, service provider, employee, call recordings and other records.

It is expected that it would be a rare circumstance for Wildlife Victoria to collect, use and store sensitive information.

Wildlife Victoria collects a wide range of personal information and data through its operational activities, including, but not limited to:

- Employment details or history and qualifications (including references and academic records)
- Donation history

- Details of service interactions and product purchases
- Photos and videos of people attending events or featuring in our publications
Volunteers
When applying to volunteer with Wildlife Victoria, the personal information we collect may include the information listed above as well as relevant training and volunteer experience. We may also collect sensitive information (such as information on a health condition) to ensure we can manage your volunteer activities safely.
Job applicants and contractors
When applying for a position as an employee or contractor, we collect personal information necessary for recruitment, hiring, and contract management. This may include education history, qualifications, previous employers, membership of professional organisations, and referee contact details.

There are many ways that Wildlife Victoria collects personal information and data, including, but not limited to:
- Serving members of the public (typically via the Emergency Response Service or volunteer field interactions)
- Maintaining our membership register, including accepting new applications
- Managing donor, fundraising, and supporter lists and conducting events
- Selling merchandise through our store and online
- Coordinating and managing volunteers
- Employing and managing staff, including information from recruiters
- Interacting with other parties, government agencies, and partners
Personal information and data are collected both electronically and physically and may be stored in both formats.
Why we collect, hold, use and disclose your personal information
Wildlife Victoria collects personal information for a range of operational purposes, including:
- Managing everyday activities, including responding to wildlife welfare emergencies
- Promoting, marketing, obtaining and administering donations and fundraising activities
- Maintaining our membership register
- Recruiting, training and managing employees and volunteers in wildlife welfare and rescue activities
- Complying with legal and regulatory obligations
- Managing safety, security, and the improvement of our services
Your personal information may be shared with trusted service providers or contractors engaged by Wildlife Victoria, including IT service providers, database administrators, or financial institutions processing donations or payments.
Wildlife Victoria will only use or disclose information for the purpose for which it was collected unless the individual has consented to another use, has been otherwise informed, would reasonably expect it, or where required by law.
Wildlife Victoria will not disclose personal information to overseas recipients without first taking reasonable steps to ensure the overseas recipient does not breach the Australian Privacy Act 1998 in relation to that information.

We will take reasonable steps to correct personal information that is inaccurate, out-of-date, incomplete, irrelevant or misleading, or where you request us to correct it. Typically, we would expect to action and complete a correction request within 30 days.
Access to personal information will be provided where we can verify the requester’s identity and where permitted by law.
Security of personal information
Wildlife Victoria will take reasonable steps to protect personal and sensitive information it stores from misuse, interference, and loss, and from unauthorised access, modification or disclosure.
Personal information is stored securely in both electronic and physical formats, with access controls and network and software security measures applied in accordance with our Information & Cyber Security Policy.
Personal information will only be retained for as long as required for the purpose for which it was collected, after which it will be securely destroyed or de-identified.
Cookies
Wildlife Victoria may use technology to track visitor behaviour patterns on our website, including the number of visitors and pages viewed. This can include the use of “cookies” stored on your browser. You can modify your browser settings to prevent cookies if you prefer.

A data breach occurs when personal information held by Wildlife Victoria is lost or subjected to unauthorised access or disclosure.
